Manage the history of a project
Introduction
The History feature allows you to track changes over time to certain information in the record without losing previously entered values.
Each update is saved as a new historical record, allowing you to maintain a history of changes and review it at any time. This way, you can track how certain important details—such as the location, price, or appraisal of a work of art—have changed over time, and refer to data entered in the past when needed.
When to Use the History
The History feature is useful whenever you want to record a change while keeping track of previous data.
For example, you can use it to record:
- a change in the location of the work;
- a new assessment;
- a change in price;
- an update to the acquisition data;
- a change to the insurance information.
Fields that support the Historical
The History feature is available for the following fields in the record :
- Location
- Price
- Acquisition
- Insurance
- Evaluation
These fields can therefore be updated over time while retaining a record of previous entries.
How the History Feature Works
record is always displayed only the most recent value for each field.
When a field contains multiple records, the icon appears next to the field Historical (
). Clicking this icon opens the history and displays all the values recorded over time.

Note: When editing an record , only the most recent value entered is displayed. To view or manage the history, click the corresponding icon.
Add a new record
For a single work
- Go to the Artworks section ;
- Open the record you want to update—do not open it in edit mode;
- Scroll down to the field for which you want to update the history;
- Click the History icon next to the field you want to edit. This will open the history of existing records for that field;
- Click " Create " to add a new record;
- Fill in the required information and, if necessary, change the registration date by clicking "Change Date";
- When you're done entering the information, click Save in the upper-left corner.

Enter a record with a past date
When you create a new record, you can also assign it a date that is earlier than the day you are entering it.
To do this:
- Click " Create";
- Select " Change Date";
- Select the desired date from the calendar;
- Save the new record.
This feature is useful when you need to reconstruct past events or update the history with previous information.

Add a new record to multiple Artworks
You can also create a new historical record for multiple Artworks .
- From the section Artworks, click the icon In the upper-right corner, select the Artworks which you want to add a new record.
- Once selected, the panel appears automatically on the right Manage. If the panel does not appear—for example, because of the small screen size—click the icon to view it manually.
- In the Manage panel, scroll down and click Create History. Select the field you want to update, enter the required information, and, if necessary, add a date.
- To finish, click Create in the bottom right corner.

Edit or Delete a Historical Record
Once created, a record in the History cannot be modified.
If you entered incorrect information, you can delete the record and create a new one with the correct data.
In this way, the Historian always maintains a consistent chronology of the recorded information.
Delete a historical record
- Open the record ;
- Click the icon for the Historical next to the relevant field;
- Select the record you want to remove;
- Click the icon ;
- Select " Delete Record."
Warning: Deleting a historical record is permanent and cannot be undone.

The History feature allows you to keep a complete record of the most important information about your Artworks, without losing any data recorded in the past.
By using it regularly, you can track the evolution of each work over time and keep your archive organized and consistent.
