The Lock Feature

Introduction

When working with shared Artworks, events, or insights, you may have folders, attachments, or multimedia content that you want to share frequently, and others that you prefer to keep private.

The lock function (open or closed ) allows you to precisely control the visibility of each item, deciding what to make available when exporting or sharing, and what to keep exclusively in the internal archive.



Lock Closed/Open: What Does It Mean?

The padlock acts as a toggle for content visibility.

  • Locked: The content is private. By default, this content will not be automatically included in shares or exports. It is ideal for internal documents, such as contracts, quotes, evaluations, or drafts.
  • Unlocked Padlock: The content can be shared. The content is included in shares, exports, or emails. This is useful for public images, records , or media that are frequently displayed.



How to manage the lock for attachments and media

You can change the lock status in two ways:

  1. Manually, for each individual element.
  2. Setting a default status for new content.

 


Manage the lock on individual items

Within the record work, artist, event, or contact), click Details to expand the Details tab.

From here, you can access:




Images and videos

You can manage the lock status of images and videos linked to your records Artworks, artists, Contacts events) in two ways:

  • Directly from the Images and Videos section within the Details tab.
  • By clicking directly on the image or video.


Important: If an image is already set as a cover photo or "View on Wall," the lock icon cannot be changed. In the image below, for example, the lock icon can only be changed for the image shown.

Folders

You can lock or unlock an attachment either from within the folder or from within the attachment itself.

Even for general file types (e.g., PDF, ZIP, Word), the lock icon can be changed from the folder or within the file itself.

Set a default status for new content

To streamline your workflow, you can choose whether newly uploaded files, images, videos, or attachments should have the lock icon open or closed by default.

Here's how to do it:

  • Access the Settings Panel by clicking the icon bottom left;
  • Select the " Locks & Bags" option ;
  • Under " Lock Status," select the option you prefer:
    • Locked: to keep your content private right from the start.
    • Unlocked: to automatically make new content shareable.
