The Reminder app - organize reminders and due dates

Introduction

The Artshell Reminder app lets you organize tasks, due dates, and reminders right within the Artshell platform.

You can use it, for example, to remind yourself of a task, keep track of a deadline, or create reminders linked to artworks and events in your account.

The app is based on two main elements:

  • Lists, which allow you to group and organize your reminders based on your needs, for example, by project, task, or work area;
  • Reminders, which represent individual tasks to be remembered and may include notes, tags, a due date, a priority, and links to artworks or events.

When you log in to the app, you will already find a predefined list, My Reminders, which you can use right away. If you need to organize your activities according to different criteria, you can create additional custom lists.

In this guide, we'll see how to create and manage reminders, organize them into lists, set due dates and notifications, and manage multiple tasks at the same time.



Open the Reminder app

In the desktop version of Artshell, click the icon with the four squares in the left sidebar to access the Apps section, then select the Reminder app.


Once you open the app, you can view the reminders you've already created or add new ones.



How the Reminder app is organized

When you log in to the Reminder app, you can access the default My reminders list and immediately start adding your tasks. If you need to organize your reminders by project, activity, or other criteria, you can create custom lists later on, which can also be shared with other users on your account.

On the main screen you will also find:

  • the search bar, to search for a reminder using keywords;
  • Today, which compiles the reminders due today;
  • Scheduled, which contains reminders that have been given a due date;
  • Artworks, to view reminders associated with the artworks;
  • Events, to view reminders associated with events;
  • My Lists, where you'll find a list of the custom lists you've created.

By selecting a list, artwork, or event, you can view the corresponding reminders on the right-hand side.



Create a reminder

To add a new reminder:

  1. select the list where you want to add it - if you haven't created any lists, you will be by default inside the My reminders list;
  2. Click " + Reminder " at the top of the screen;
  3. Enter the reminder information;
  4. Click Save.

Within the reminder you can include:

  • Title: The name of the reminder or task to be completed.
  • Notes: Any additional information that may be helpful in describing the reminder.
  • Tags: one or more tags to categorize the reminder.
  • Date and time: the reminder's due date. You can set a date and, if necessary, a time as well.
  • Events: one or more Artshell events to link to the reminder.
  • Artworks: one or more artworks to link to the reminder.
  • Priority: The priority level to assign to the task. You can choose from: None, Low, Medium, High.
  • List: The list where you want to add the reminder. "My Reminders" is selected by default; if you've already created other lists, you can choose a different one.



Link a reminder to an artwork or an event

You can link a reminder to one or more artworks or events in your account.

This way, you can keep the activity associated with the relevant content and easily find it again from the Artworks and Events sections on the main Reminder screen.

Example

If you need to check the condition of an artwork prior to an exhibition, you can create a reminder to Check condition report and link it to both the relevant artwork and the event.

To link an artwork or an event:

  1. select Events or Artworks in the reminder panel;
  2. Click the " + " in the upper right corner;
  3. select one or more artworks or events from the sidebar;
  4. click Add to confirm.

You can link multiple artworks and multiple events to the same reminder.

Linked reminders can also be found in the Artworks and Events sections on the Reminder main screen.




Due dates and notifications

When you set a due date and time for a reminder, Artshell sends an email notification to the email address of the user who created the reminder at the scheduled time.

Reminders with a set due date are gathered in the Scheduled section, while those due today are also visible in Today.

In addition, the Reminders app icon displays a red indicator showing the number of reminders due, so you can keep track of them directly from Artshell.


Manage a reminder

After creating a reminder, you can edit its details or mark it as completed when you've finished the task.

Complete a reminder

Once you have completed an activity, click the circle to the left of the reminder title to mark it as completed. The reminder will disappear from your to-do list.

To view reminders that have already been completed, click the icon and select Show Completed. To hide completed reminders, click Hide completed.


Edit or delete a reminder

To edit a reminder, click on its title. This will open the corresponding page, where you can update the information you've entered. For example, you can change the due date, adjust the priority, add notes, or link new Artworks or events.

Once you've finished making changes, click Save.

To delete the reminder, open the corresponding panel and click Delete.




Organize your reminders with lists

If you want to organize your tasks by project, work area, or other criteria, you can create additionalcustom lists.

Example

You can create a " Milan 2026 Exhibition " list to collect all the reminders related to preparing for the exhibition, or a " Shipments " list to group together tasks related to the handling of Artworks.


Create a new list

To create a list:

  1. click List +;
  2. Enter the name of the list;
  3. choose a color;
  4. Set the view permissions using the Lock —that is, choose whether to keep the list visible only to you or to all users of the account;
  5. Click Save.

The new list will appear in the "My Lists" section.



Choose whether to keep a list private or share it

If your Artshell account is on the Premiere plan—which supports multiple users—each user can view only their own reminders by default. The personal reminders of other users on the account are therefore not visible.

If you want to share some reminders with other users of the account, you can organize them into ashared list.

When you create or edit a list, use the lock icon icon to set its visibility:

  • Keep the list private if you want it to be visible only to you;
  • Make the list shared if you want other users of the account to be able to view it along with the reminders it contains.

Example

If you're organizing activities related to an exhibition with your colleagues, you can create a " Milan 2026 Exhibition" list, make it shared, and add reminders to it that the team needs to review.

Note

At this time, it is not possible to share a list with only certain users of the account: the list can be private or shared with all users who have access to the Reminder app.

If you need to prevent a specific user from viewing shared lists, you can disable that user's access to the entire Reminder app through the permissions settings. In this case, however, the user will not be able to use Reminder even to manage their own personal reminders.



Sort the lists

You can customize the order of the lists by dragging them up or down.

Click and drag the bar to the left of the colored circle next to the list name to the desired position.


Edit or delete a list

To edit a list:

  1. Select it in the My lists section.
  2. Click the icon top right.
  3. Select Edit list.
  4. Change the name, color, or view permissions.
  5. Click Save.

To delete it instead, follow the steps above but click the Delete button from the edit panel.

Warning

Deleting a list will also delete all the reminders it contains.



Sort the reminders in a list

You can choose the order in which reminders are displayed within each list.

Click the icon in the upper-right corner and select the desired criterion:

  • Manual: Drag the reminders into the order you prefer using the gray bar;
  • Due date: Sort reminders by the set due date;
  • Creation date: Sort reminders by when they were created;
  • Title: Sort alphabetically;
  • Priority: Sort by assigned priority.

If you select Manual, you can freely rearrange individual reminders by dragging them into your preferred order.


Manage multiple reminders at the same time

If you need to perform the same action on multiple reminders, you can select them and perform bulk actions.

To get started:

  1. Open the list that contains the reminders.
  2. Click the icon top right.
  3. Select the reminders using the circle to the left of each title.

The counter at the top of the screen shows how many reminders you've selected.


From the actions menu at the bottom, you can then:

  • modify the expiration date and time using the calendar icon and click Apply;
  • move reminders to another list using the folder icon and click Move;
  • Delete the selected reminders using the trash can icon;
  • Mark reminders as completed using the menu with the three dots.

The selected action is applied to all selected reminders.



Conclusion

The Reminder app allows you to manage tasks and deadlines directly within Artshell and, when necessary, link them to the artworks and events they refer to.

You can start with the default My Reminders list and create additional lists as your workflow evolves. Due dates, notifications, sorting options, and bulk actions help you keep track of your tasks and manage them efficiently over time.
