Add, edit, or delete a contact

Introduction

In this article, you'll find step-by-step instructions on how to add, edit, or delete a contact in Artshell.

Add a contact

Step 1: Create a new record

Click the top right for Open the new record, which is the sidebar on the right where you enter the new contact's information. 

You don't have to fill out every field in the record .You can fill out only the ones that are most useful to you and add more information later. 

Step 2: Fill in the fields

Below is a list of all the fields in the record .

To view the details of each field, click the corresponding title to expand it:


First Name, Last Name, Company

Enter the contact's first and last name and the company they work for.



Add a Tag

The "Tags" field lets you create labels that are useful for describing and grouping your Contacts. Click here to read the article about tags.



Add email

You can enter one or more email addresses and assign a label to each one by choosing from Personal, Work, Other, or select Custom to enter the label of your choice.




Add phone number

Enter one or more phone numbers. Here, too , you can assign labels such as "Mobile," "Work," or " Home," or select " Custom" to enter the label of your choice.




Add address

Enter one or more addresses for your record . If necessary, add information about the location and business hours.
Fill in the available fields according to your needs:

Location Name: Enter a name that will help you quickly identify the location, such as Headquarters, Warehouse, or Showroom.
Address: Start typing the address to open the dropdown menu with suggested addresses. You can select one of the automatically suggested results or click "Enter Manually" to type the address without using the suggestions. Click "Clear Entered Data " to return to blank fields.
Map: Click Calculate to convert the entered address into its geographic coordinates and place it correctly on the map.

Hours of Operation

Turn on the "Opening Hours " toggle if you want to assign specific days and times to the location.

After enabling the feature, you can configure:

Schedule type: Select the desired option from the dropdown menu : Opening and closing hours or Morning / Afternoon .
Days of the week: Select the days on which the location is open, choosing from Monday through Sunday.
Time zone: verify or select the time zone associated with the location. This setting is important for displaying hours correctly, especially for international locations.
Details: use this field to add additional information, such as a lunch break, special hours, access instructions, or helpful notes for visitors. Content can be entered in the various available languages.



Add contact

Link this contact to others already in your database. Here , too , you can assign labels such as "Assistant" or "Press Office," or select " Custom" to enter the label of your choice

Please note! The link between Contacts is Contacts reciprocal. For example, to link the Contacts a couple (e.g., husband and wife), you’ll need to perform this action on both profiles. Additionally, the email addresses entered in this field are not considered recipients when you send emails or newsletters.



Add link

Here you can associate one or more links with your contact. Paste the URL you copied earlier into the field provided and select the label you want to associate with the link from the dropdown menu. You can choose from the available labels —Website, Instagram, and Facebook —or select Custom to enter the label of your choice.



Billing Information

Company Name: Here you can enter the contact’s company name.
Billing Address: Here you can enter the full billing address.
VAT Number: Enter the VAT number, if applicable.
Tax ID: Enter the Tax ID, if applicable.
Email: Here you can enter an additional contact email address.


Note: This email address is NOT considered a recipient address. This means that even if you select the contact, this email address will not receive any messages sent from your Artshell account.


Contact Type, Position, Nationality, and Date of Birth

Contact Type: Specify the type of contact (e.g., Supplier, Gallery, Collector, Press, etc.).
Position: You can use this field to specify the contact’s job title.
Nationality: Select the contact’s nationality from the drop-down menu.
Date of Birth: Enter the contact’s date of birth.



Notes

Here you can enter any additional information.



Add folders and attachments

Here you can enter any additional information about the contact. Read the related article to learn more.





Step 3: Save

Once you've entered all the necessary details, click Save in the upper-left corner of record .



Edit a contact

To edit an existing contact:

  1. Select the contact you want to edit so that its record opens.
  2. Click the icon to enter mode edit and make the desired changes.



Delete a contact

Warning:TheDeletefunction is permanent. Once a contact is deleted,it cannot be recovered. To prevent mistakes, Artshell includes an additional confirmation prompt.

To delete a contact: 

  1. Select the contact you want to delete.
  2. Click the icon .
  3. Select Delete.
  4. A confirmation dialog box will appear. If you want to proceed, click Delete again; otherwise, click Cancel if you selected the wrong contact.


To delete Contacts bulk: 

Use the feature Select Select the Contacts want to delete, then click the icon , select the last option Delete.
A confirmation dialog box will appear. To permanently remove the selection from " Contacts Delete. If, on the other hand, you selected " Contacts mistake, click Cancel.
