Configure the Artshell Scanner
Introduction
The Artshell app lets you scan the QR codes associated with events created in your account and quickly verify participants' access. The Artshell Scanner app lets you control access to events by scanning participants' QR codes.
Before using it during an event, you must set up the users who will have access to the app and prepare the devices used for scanning.
In this guide, you'll learn how to set up the scanner app and how to view the recorded entries after the event is over.
Before You Begin
Before configuring Artshell Scanner, make sure that:
- The event uses QR codes to track attendance. If you haven't enabled them yet, see the "QR Code Settings " section before proceeding.
- If the scanners will be used by different operators, make sure you have an account Artshell Premiereaccount. With this plan, you can create a dedicated user for each device, so each operator can log in with their own credentials without sharing the same account.
Create a user for each scanner device
If multiple operators will be using Artshell Scanner during the event, create a dedicated user for each device.
Each device must log in with its own credentials: the same account must not be used on multiple devices at the same time, as this could cause errors when logging entries.
For example, if you plan to have six login accounts, you'll need to create six users, each associated with a different email address.
This configuration is available in the Settings panel under Users and Roles in the Settings panel for accounts with the Artshell Premiere plan. This allows you to restrict staff access to the scanner app only, keeping the other data in your account secure.
Add a new user
To add an operator:
- Select the icon in basso a destra;
- Click the " Users & Roles" option ;
- Click the Add button in the upper-right corner;
- Enter the new user's first name, last name, email address, and language;
- Enable access to the scanner app;
- Grant only any additional permissions that are strictly necessary.
Once added, the new user will automatically receive an email with a temporary password. They will need to use the email address entered in " Users and Roles " and the temporary password to log in to Artshell, and then set a new personal password.
Don't have enough email addresses?
Some email providers allow you to create unique addresses by using the + symbol after the main email address.

- artshell+scanner2@nomegalleria.com
- artshell+scanner3@nomegalleria.com
- etc...
Messages sent to these addresses are usually delivered to the main inbox.
Before using this solution, make sure your provider supports plus addressing.
Save login credentials
After activating each user, make a note of—or instruct them to make a note of—the email address and password associated with each scanner device. This will allow staff to quickly log in to the app on the day of the event.
Check the recorded inputs
At the end of the event, you can view the list of participants who logged in.
To check previously recorded entries:
- Go to the Events section;
- Select the event you want;
- Click the " Details" tab in the upper-left corner of the record ;
- From the drop-down menu, select Reservations;
- Select Participants;
- Apply the filter for " Checked In".

View or delete an entry history
If necessary, you can view your scan history or delete it.
To view a single participant's check-ins:
- Select the participant;
- Click the icon in the section Reservations;
- Select Entry History.

To delete a recorded entry, click the icon again next to the relevant entry and select the delete option.
