Introduction
This article explores the advanced features of the Artists section, guiding you beyond simply adding and organising artists.
Through the Details tab, you can enrich each artist card with additional content such as files, images, videos, folders, and attachments, as well as view the artworks associated with the artist in the Artworks section. In addition, thanks to the Multilingual function, you can translate artist profiles into English and French.

The Details tab
The Details tab contains additional elements linked to an artist card, such as:
- Artworks
- Images and videos
- Folders
- Files
Select an artist and click the Details button in the top-left corner of the card.
Click on each option to read more:
Artworks
The Artworks tab within the artist card automatically displays all artworks from the Artworks section where that artist has been set as the author.
This section is populated automatically: it is not possible to manually add or remove artworks. However, you can edit their content by opening the corresponding artwork card and using the icon at the top.
Images and videos
In this section, you will find all the images and videos associated with the artist card. For example, you might upload images of the artist’s studio, portraits, or a video of the artist at work. Within the Images and videos section, you can search for content using the search bar, add new media from the Medialibrary using the icon, and select items using the icon.
You can manage media individually or through multiple selection.

Managing a single media file:
By clicking on an image or a video, you can open the content and view its details, such as the File name (or Video link, in the case of a video), the Description, any Notes, and the language set at the time of upload.
Attention: the Description and Notes fields in this section are different from those in the Medialibrary, so the content does not overwrite existing Medialibrary content. The Description is used when the image is shared and can include, for example, courtesy or photo credits. The Notes and Type fields are always private: they are visible only to you and are never included in shared content.Clicking on the icon in the top right corner of the media opens the options menu:
At the top, you will also find: the lock function () - only available if the image is not set as cover image - the multilingual option, and the icon to return to the full media list.
The management menu is also available in the grid view, via the icon:

Managing multiple media files:
Click the icon to select the media you want to manage, then click the icon to open the dropdown menu with the available options. The selected action will be applied to all chosen items.
Folders
The Folders section expands the artist card, allowing you to upload and link additional data, images, files, and videos. This section is ideal for attaching extended biographies, critical texts, press reviews, representation agreements, administrative documents, curatorial materials, or presentation dossiers.

For convenience, here you will find a summary of the main features and instructions on how to create a folder and your first attachment directly from a artist card.
If this is your first time using folders, we recommend reading the dedicated article first and defining and creating in advance all the main folders you may need.
To create a new folder:
- Open the artist card.
- Go to the Details tab and select Folders.
- Click + and type the name of the new folder and click create. Enter the name of the new folder in the other languages as well if you plan to share the content with an international audience.
- Click Create to conclude the creation of the new folder.

To add attachments, open the folder and click +. You can add a title, text, media (images, videos, or files), or graphic elements (e.g. separators or sliders). You can also add a date and, if needed, provide translations using the multilingual option.
- Click Save to update the folder content.
Returning to the folder list, you will find the following information:
- The number next to each folder name indicates how many attachments it contains.
- The date on the right shows when the folder was added to the artist card.
- The icon lets you move attachments to another folder or delete the folder.
Attachment management
Within folders, attachments can be locked with the lock function, keeping them private during exports, moved to other folders or deleted.
Files
Here you will find files associated with the artist card. For example: compressed files for print materials, graphic layouts, full catalogue PDFs, Word or Excel files. Within the Files section you can:
- Search using the search bar;
- Add files with the icon. You can upload any file type (e.g. .zip, .mp4, .docx) without size or format limitations. You can also attach documents generated via Artshell’s Export functions.
If the file is not already in the Medialibrary, click the icon again to upload it directly from your computer.
Before uploading, the system presents a record form for each file, where you can add a description and notes in three languages (Italian, English, French). The file name itself remains the same across all languages.
Additional file management options are available via the icon, including: locking a file (see the article The Lock function), copying the file link, downloading it, or removing it from the artist card. If removed, the file will still remain stored in the Medialibrary. The same actions are available when opening the file.
The Multilingual function
Artshell supports content management in three languages: Italian, English, and French.
Note: Translations are not automatic and must be entered manually in the designated fields.
To make the artist card available in Italian or French:
- Select the artist card.
- Click the icon to enter edit mode.
- Open the dropdown menu at the top right and select the desired language.
- If helpful, you can copy content from another language to facilitate translation.
