Introduction to the Email and Newsletter Section

Introduction

The Email and Newsletter section provides you with all the tools you need to design visually appealing and highly personalized communications.

Thanks to the ability to enter multiple sender addresses and segment your audience based on tags and lists, you can create targeted communications and increase your recipients’ engagement. This section automatically integrates with the Contacts section to ensure you have a dynamic, up-to-date address book.


Email or newsletter?

Within Artshell, the terms "email " and "newsletter" are often used interchangeably, since both are created and sent from the same section.

In general, with email refers to a single message or one targeted at a specific group of distinct recipients, whereas newsletter refers to a periodic message sent to a broader list of Contacts, for example, to share updates, events, or news. 




How to access the Email and Newsletter section

In the vertical menu on the left, clickthe @icon, then select Email from the horizontal menu at the top.



Elements of the Email and Newsletter section

Under the main menu (Email / Insights / Exports), you'll find four sections that help you organize your emails and make searching easier: All, Drafts, Scheduled, and Sent.


The " Email " option in the upper-left corner shows the total number of emails created. 

Using the search bar, you can search for keywords included in:

  • Subject of the communication
  • sender's name
  • recipient - list and tags only
  • message content - only if the word appears within the first 5,000 characters.

Click the ➕ icon if you want to create a new email.


Email Status

Sent / Draft / Sending

Emails and newsletters are sorted by modification date. For each email listed, the following information is displayed on the left:

  • the email subject in bold
  • A brief preview of the email's content

while on the right:

  • If the email is in Draft status: the status, date, and time of the last modification
  • if the email was sent: the day, the time it was sent, and, if applicable, the icon to indicate errors in sending or receiving emails. To learn more about the performance of your newsletters Read the article on Analysis.


As for the state:

Single checkmark: Appears in sent emails and indicates the number of Contacts whom the email was sent.

Double blue checkmark: Appears in sent emails and indicates the number of Contacts have opened or read your email.

Draft

An email in draft status displays the date and time it was last modified, along with the word " Draft " in orange.

Sending...: For a short time after sending, the status may appear as "Sending...". If the status remains unchanged for too long, we recommend refreshing the page.


Items in the Email section

The following table explains the meaning of the icons that appear during editing. 


Click the X to close the email and exit.

Send: allows you to send the email to the recipients you've entered.

Send a test email: By selecting this icon, you can send a test email to one or more Contacts. If the contact isn't in Artshell, click the + to add them. Test emails aren't tracked in the analytics.

Save: Be sure to always save any changes you make to your email. Once saved, your email will appear in the Email section with the status " Draft."

In addition to the main icons, the email consists of 3 fields:

    • A: - the field where you enter the recipients of the message (individual email addresses, tags, lists, or a combination of these)
    • From: - the sender's email address
    • Subject: - the subject of the communication

Why isn't there a "CC" field in Artshell emails?

The Email section of Artshell is designed as an email marketing tool, not as a traditional email inbox.

For this reason, the “CC” (carbon copy) or “BCC” (blind carbon copy) fields should not be used.

Unlike standard emails, communications sent by Artshell are delivered individually to each recipient, even when sent to multiple Contacts . This approach ensures: 

  • privacy protection, ensuring that email addresses are not visible to other recipients
  • accurate tracking of opens, clicks, and unsubscribes for each individual contact
  • improved deliverability, reducing the risk of emails being marked as spam

Using the “CC” field, which would make all recipients of the message visible, is therefore not consistent with these principles, particularly with regard to compliance with GDPR regulations and best practices in email marketing. 


If you want to include multiple recipients, simply add them to the “To:” field: the system will automatically handle the delivery correctly and securely.
