Introduction
Artshell provides two essential tools for organising and managing your contacts: Tags and Lists.
In this article, you’ll learn how to create, add, or remove one or more tags from your contacts, and how to organise them into manual or automatic lists for more efficient and personalised management.
Prerequisites
We recommend reading the following articles before getting started:
Create and manage Tags for contacts
Tags allow you to label and categorise contacts to facilitate searching, organising, and exporting. Below are the actions you can perform with tags.

There are two ways to create a tag:

From the Manage panel (recommended if you want to add the tag to multiple contacts):
Artshell allows you to assign a tag to many contacts at once:
-
-
- Select the contacts using the icon.
- In the Manage panel on the right, click Add tag. If the panel doesn’t appear (for example, due to a smaller screen), click the three-dot icon in the top right corner.
- Click + Create tag.
-
Enter the desired tag in the input field and then click Create tag. Click Cancel to go back.
Note: The number in parentheses next to each tag indicates how many contacts are linked to that specific tag. - Click the Add button at the bottom right to apply the tag to the selected contacts.

Create and manage Lists for contacts
With Artshell, you can organise and group contacts into an unlimited number of lists. As described in the introductory article Organising content: Tags and Lists, there are two types of lists: Manual and Automatic.
You can access all the lists created by clicking the section title at the top left.
Create lists
Click each box to expand the instructions:
To create a manual list — a static list that doesn’t change over time:
- Select the contacts using the icon.
- In the Manage panel on the right, click Add to list. If the panel doesn’t appear (for example, due to a smaller screen), click the three-dot icon in the top right corner.
- Since the list you want to use doesn’t yet exist, click + Create list.
- Enter the list name in the designated field, then click Create list. Click Cancel to go back.
- Click the Add button at the bottom right to add the selected contacts to the newly created list.
After clicking the icon, choose a name for your automatic list. Finally, click Save list.
For example, a name for the list above could be: “VIP Contacts in Milan – tag 'vip' + in 'Milan’”.
Manage lists
Add to a manual list:
- Select the contacts using the icon.
- In the Manage panel on the right, click Add to list. If the panel does not appear (e.g., due to a small screen size), click the circled three-dots icon in the top right corner.
-
Use the search bar to find the list you want to add contacts to, then tick the box next to it.
Note: The number in parentheses next to each list indicates how many contacts are currently in that specific list. Click the Add button at the bottom right to add the contacts to the selected list.
Add contacts to an Automatic list:
Remove contacts from a Manual list:
- Select the contacts using the icon.
- In the Manage panel that appears on the right, click Remove from list. If the panel does not appear (e.g., due to a small screen size), click the circled three-dots icon in the top right corner.
-
Use the search bar to find the list from which you want to remove the contacts, then check the box next to the list to select it.
Note: The number in parentheses next to each list indicates how many contacts are currently in that specific list. Click the Remove button at the bottom right to remove the contacts from the selected list.
Remove contacts from an Automatic list:
A contact is automatically removed from an automatic list if it no longer meets the criteria defined at the time of its creation. To remove a contact, simply ensure it no longer fulfills the required conditions.
- Click the name of the Contacts section in the top left.
- Hover over a list to see the hand icon appear.
- Drag each list up or down to organize them in your preferred order.
