Introduction
The Artshell Scanner app allows you to scan QR codes associated with the events created within your account. You can access the app both from desktop and mobile devices. It is designed to be used during the event, at the entrance, and enables you to quickly verify attendees’ access.
Once the app is correctly set up on your mobile device (smartphone or tablet), it is immediately ready to use and does not require any specific technical skills.
Prerequisites
Before using the Artshell Scanner app, make sure you’ve completed the following steps:
- Download the Artshell app on your smartphone. Available on the Play Store (Android) and App Store (Apple). Click here to read the dedicated article on how to download the Artshell App on your mobile device.
- Update your device software. Ensure your phone or tablet is running the latest available version.
- Stay connected to the Internet. The Scanner app works only when your device is connected to Wi-Fi or mobile data.
- Enable the camera for the Artshell app. If camera access is disabled, the app screen will appear black and you won’t be able to scan
Enable external staff for the Scanner app
If you work with external staff for access control (for example stewards or entrance staff), you need to create a dedicated user for each device that will be used to scan QR codes.
The same email address cannot be used to log into the app from multiple devices. Each scanner operator can use their own email address, or alternatively you can create email aliases for them, as explained in the next section.
This configuration, available in the Settings panel > Users & Roles section (Artshell Premiere plan only), allows you to protect and keep the rest of your account data private and helps prevent errors during QR code scanning.
Add a new user
Seleziona l'icona icon in the bottom right corner, then select Users & Roles.
Click the Add button in the top right corner and fill in the new user’s details (First name, Last name, Email address, and the language in which the profile will be displayed).
Don’t have enough email addresses?
In this case, you can create email aliases using your domain (e.g. @galleryname.com).
Aliases are created by adding a + followed by a unique name or number between the username and the @ symbol. For example:

Set permissions
For each user, enable access to the Scanner app, as well as any other permissions that are strictly necessary for scanning activities.
Start scanning QR codes
Step 1: Access the Scanner app
To open the Scanner App, follow these steps:
- Open and log in to the Artshell App on your smartphone.
- Select the icon in the top left.
- Select App.
- Click the Scanner app.
Step 2: Select the event
When you open the Scanner App, you will find all events with active QR codes listed. Choose the specific event to start scanning the codes of your invitees.
Step 3: Scan the visitor's QR Code
Ask the visitor to show you the Artshell QR Code they received on their smartphone.
Using your device and the Scanner App, frame the invitee's QR code within the red border and wait a few seconds.
Once the QR has been scanned, the possible options are as follows:
The QR code is scanned for the first time.
When the QR code is scanned for the first time, a green confirmation message appears.
The QR code is scanned a second time.
If the QR code is scanned a second time, an orange message appears.
Unable to scan QR code
If the code cannot be scanned, an error message will appear.
If you see this error message, you can attempt a new scan by selecting Scan again. Make sure that the camera on your mobile device is clean and that the invitee's screen is set to high brightness.
Otherwise, click Search by Name to open the list of event participants. You can now search for the user's first name, last name or email from the search bar or use the Filters button in the top right hand corner.
Check scanned QR codes
To check the QR codes that have already been scanned, go to the Events section and follow these steps:
- Select the desired event.
- Click the Details tab in the top left of the event tab.
- From the drop-down menu, select Reservations.
- Select All attendee.
- Filter by Entered.

The names for whom the QR code has been previously scanned are marked with the icon, indicating that registration is complete. You can deselect this icon, transforming it into an empty circle (), to cancel the scanned status of the name.
