Introduction
With an Artshell Premiere account, you can collaborate efficiently with your team using the Users & Roles feature. This section can only be edited and accessed by the main registration account and allows you to manage your collaborators' access to the software, precisely defining what they can view and modify.
Add a new user
Only the main registration account can add new users:
Step 1:Access the Users & Roles section
Select the in the bottom left, then click Users & Roles.
Step 2: Add and enter the new user's details
Click the Add button in the top right and fill in the new user's information (First Name, Last Name, Email address, and the language in which they will view the profile).
Step 3: Define roles and permissions
This is the most important part! By toggling the switches, you can decide in detail which sections of the database your collaborator has access to and what actions they can perform. Specifically, by selecting Platform permissions, you can enable:
- All artwork details: access to all information, images, files, and documents in the Artwork section.
- Export functionalities: the ability to export and share documents and contacts in various formats.
- Edit contents: authorisation to upload, modify, and delete content in all sections of the database.
- Setting features: access to the account settings (with the exception of the "Users & Roles" section, which is reserved for the main administrator).
You can also enable the viewing of Artshell's internal Apps, such as Preview, Scanner, etc.
Step 4: Confirm the addition
Once all the fields are completed, the user you have entered will receive an email notification with instructions on how to access the software and set their own password.
In this case, you need to contact the support team.
Edit or delete a user
Modifying user permissions or removing a user from the account is simple. At any time, click the icon and select Edit user. Remember, you have the flexibility to delete any additional users, but the primary administrator account, that cannot be deleted.
How to reset a user's password
If one of your collaborators has forgotten their login password for your account or wants to reset it, the procedure to follow is the same for all account types:
- From the login screen, click Forgot password.
- Enter the email address used during registration (or the address that was rejected) and click Reset password.
- Enter the 6-digit code you received via email and set a new password. If you haven't received any email, click Resend code.
- Click Update password to confirm the changes.
Conclusions
Efficient management of users and their roles is crucial for optimising workflow and ensuring data security within Artshell. Thanks to the Users & Roles feature, the Premiere account offers granular control over access, allowing you to customise permissions based on the specific needs of each collaborator. This not only simplifies collaboration but also ensures that sensitive information remains protected.
