Introduction
Artshell’s event export and sharing system allows you to easily share your events via email, link, or Excel file.
Each sharing option includes toggle switches (), which you can turn on or off to include or exclude specific features and details.

Select events for export and sharing
Exporting and sharing begin with selecting the events.
Expand the box below to review how to use the “Select” function:
- Click the checkmark icon in the top right.
- Click the events to select them. Selected events will display a black checkmark, and the green counter at the top will update accordingly.
- Click the green counter to view only the selected events.
- Use the hand icon to drag and reorder events— this sets the order in which they will appear in the export.

Once you’ve selected the events, the Manage panel will automatically appear on the right with sharing and export options.
If the panel doesn’t appear (e.g. due to a small screen size), circled three dots icon in the top-right:

You can:
Share events online
After selecting the events you wish to share, choose between Link or Email.
Click the boxes below to expand the details:
The share via Link feature allows you to share the selected events through a public link, accessible to anyone who has the URL.
From the Manage panel, click Export, then click the first option: Link.
Use the options on the left to explore the different sections and customisation options. In particular:
- Settings: Choose the language, customise the text content that will appear within the link and decide which elements to include: your logo at the bottom of the link's web page and — if you have configured multiple locations in the Organisation Venues section — the specific location to display.

Metadata: customise the title, description, and image shown when your link is shared on chats, social media, or websites.
What are metadata? Metadata are pieces of information that describe and organise your content. They are essential for link sharing, as they determine the preview displayed on social media, messaging apps, and search engines.
The title, in particular, is shown in the browser tab: - Event data: Use toggles to enable or disable specific fields (e.g. curator, link). This lets you choose which event details to include in the link.
- Dates and times: Use the toggle to include date and time information. You can then specify the details as needed.
- Images and videos: Use the toggles to include cover images and secondary media. Alternatively, click on specific items to include/exclude them individually.
- Folders: Select which folders and attachments to include in the link.
- Files: Select which files to include in the link.
- Artwork data: Use toggles to enable or disable specific fields (e.g. acquisition, rights, constraints). This allows you to choose which artwork details, linked to the selected events, should be included in the link.
Once customisation is complete, click Export at the bottom to generate the link.
To share events by email, from the Manage panel click Export and choose the second option: Email.
Customise what to include in your email:
- Settings: Choose elements such as your logo at the top of the email, and — if you have configured multiple locations in the Organisation Venues section — the specific location to display.
- Event data: Use the toggles to enable or disable specific fields (e.g. curator, link, etc.). This allows you to choose which details of the selected events to include in the email.
- Dates and times: Use the toggle to include date and time information, then define it in more detail.
- Images and videos: Use the toggles to decide whether to include cover images and secondary images and videos. If you prefer, you can customise the selection by clicking directly on the listed media to include or exclude them..
- Folders: Select which folders and attachments to include in the email.
- Files: Select which files to include in the email.

Artwork data: Use the toggles to enable or disable specific fields (e.g. acquisition, rights, constraints, etc.). This allows you to choose which artwork details, included in the selected events, to insert into your communication.
Locked content warning: For images, videos, folders, and files, only unlocked items (open padlock) are automatically selected for export (even in bulk using toggles). Locked items (closed padlock) must be selected manually. This safety measure gives you full control over shared content.
Click Create email draft at the bottom right to proceed.
Fill in the recipient, sender, subject, and message body ("Insert text here...").
Use the formatting menus shown in the image below.
Once all the fields are filled in, click the Send email button.
Export events
Click the Excel option, then configure the export settings:
- document name;
- language;
- which information to include by enabling the toggle switches ().
Each toggle corresponds to a sheet in the Excel file. By enabling the toggles, you can include the following data:
- Details: includes core event data (e.g. title, subtitle, curator, all venue details, etc.)
- Activities: any "sub-events" within the main event.
- Links
- Artworks
- Folders
- Files
- Images and Videos
Finally, click Generate Excel to download the file.
Where to find generated Exports
All exports generated can be found in the Exports section, accessible via the @ icon in the left sidebar menu.
In addition to the Exports section, links can also be viewed and managed directly from the event card by clicking the green Online button. However, the editing options available from here are limited: you can only copy or delete the link.
Within the Exports section, all exports are sorted by creation date, starting with the most recent. Each export displays:
- The title of the export;
- The type: whether it is a Link, an Excel file, an Artwork sheet, etc.;
- The number of items (artworks, events, contacts, etc.) it contains;
- The date and time of creation;
- The time remaining before it expires.
Clicking on an export allows you to view additional details and perform several actions, such as:

Edit the initial link configuration; Rename the link; Remove the expiry date; Delete the link. |
Link synchronisation
It may happen that, after publishing a link, you notice a typo (for example, a spelling error) or that some information needs to be updated due to external changes. With the Synchronize function, you can update the shared link without having to generate a new one.
Depending on the type of update required, you can proceed either from the event card or from the Exports section.
From the event card
Use this option if you need to correct or update information that was already included when the link was first created.
For example: if you wish to update the title or subtitle of the event, open the event card in edit mode, update the Title and Subtitle fields, and click Save. Then, click the green Online button and select Synchronize.
- From the Exports section
Proceed from here if you did not include a field when creating the link, particularly if it concerns key information such as event dates, times, or venue, or content from the Details tab. Synchronisation does not apply to fields that were not shared in the original link.
In these cases, click the icon, then select Edit configuration. Add the missing fields by selecting them or toggling the switches, then click the black Synchronize button in the bottom right corner. To finalise, click the white Synchronize button, as shown in the example image.
It is not possible to synchronise documents (PDF or Excel), since these are static files.
Cancel the expiration date
Every type of export—whether an Excel file, link, or document—expires by default after 5 months. If you want your export to remain available for longer, remember to cancel the expiration date in the Exports section. Once the expiration date has been cancelled, it cannot be reset.
